How much does custom CRM development cost in India?

The cost of a custom CRM in India is decided by its scope, not by a rate card or a count of screens. The biggest drivers are how many roles and permissions it needs, how many lead sources and systems it connects to, how much of the follow-up is automated, whether it raises GST quotations and invoices, and how much old data has to come across.

Most pages on this question lead with a range. This one does not, on purpose. A CRM for three salespeople working website enquiries and one for a sales force across several branches, with five lead sources and GST invoicing, are both a custom CRM, and no single range describes both. What follows is what a builder is actually pricing, so you can judge your project's size before anyone quotes.

If you have not yet decided whether to build at all, start with custom CRM or off-the-shelf.

What a custom CRM quote is actually pricing

CRM cost drivers, from the smaller version to the larger one
Cost driverKeeps it smallerMakes it larger
User roles and permissionsSalespeople, and an owner who sees everything.Telecallers, field staff, branch managers, accounts and channel partners, each seeing only their own leads, region or figures.
Lead sourcesWebsite forms and leads typed in by hand.B2B lead marketplaces, local business directories, ad lead forms, WhatsApp, email and calls, each in its own format, with a person arriving twice recognised as one lead.
IntegrationsEmail notifications. The WhatsApp Business API, telephony or IVR with call logs and recordings on the lead, accounting software, a payment gateway.
Pipeline and automationOne pipeline with your stages, and a reminder for every next follow-up.Pipelines per product or branch, assignment by territory or rotation, escalation when a lead sits untouched, automatic WhatsApp or email sequences.
Quotations and invoicingA quotation from the record; invoicing stays in your accounts software.Price lists, discounts that need approval, GST-compliant quotations and invoices, payments recorded against them, entries passed to accounts.
Mobile access for field salesThe CRM in a phone's browser, which a well-built web app handles.Visit check-ins with location, photos on the record, and working without a signal until the phone can sync.
Reports and dashboardsA handful of fixed reports the owner reads.Dashboards per role and branch, filters, exports, and reports combining sales with data from other systems.
Data migrationOne clean spreadsheet of contacts.Years of leads across several spreadsheets or an old CRM's export, with duplicates, inconsistent stage names and missing fields.
Users and branchesOne team in one office.Several branches or business lines, each with its own team, targets and visibility rules, rolled up for the owner.

Count the rows where your business sits in the right-hand column. A few is a modest build. Most of them is a substantial system that should be built in phases.

The two rows that move it most

Roles matter more than the number of users. A fortieth salesperson costs almost nothing to add; a branch manager who should see only their branch means new permissions and new tests on every screen that shows a lead.

Integrations are the other. Each is separate work against someone else's system, with its own documentation and its own ways of failing: some lead marketplaces let enquiries be pulled automatically, while others only send an email that has to be parsed. A quote that says "integrations" without naming yours has not priced them.

The costs that are not in the build

Hosting and running
The server, database, backups and monitoring. Modest for most CRMs, but monthly, for as long as you use it.
WhatsApp messages
Meta charges for each template message delivered through the WhatsApp Business API, and a provider, if you use one, adds a platform fee. Automatic follow-ups send a lot of templates; how WhatsApp Business API pricing works explains the categories.
SMS and calls
Business SMS in India needs sender IDs and templates registered on the telecom operators' DLT platform, and is charged per message. Cloud telephony usually bills separately for numbers and call usage.
Support and changes
Every CRM changes once the team uses it: a new stage, a new field, a report for a new branch. Agree before launch how changes are priced and who fixes a fault.
Training
Each role needs showing how to work in it, and so does every new joiner.
Migration clean-up
Decisions on your side: which of three spellings of a customer is right, which old leads are worth bringing across, and what each old status means in the new pipeline.
Your own staff's time
Someone has to answer questions, try each phase with real leads and make decisions. It is never on the invoice, and it does more than any other cost to decide whether the project goes well.

Why phases are the cheapest way to build it

The first phase should be the part your team opens every morning: leads from the main sources, your pipeline and follow-up reminders. It goes into daily use, and the next phase is scoped from how the first is actually used.

  • You commit to a smaller fixed scope first, and the cost is spread across phases, each with its own scope and price.
  • Features that sounded essential in the first meeting and would never have been used are found before they are built.
  • If something is going wrong, with the software or the builder, you find out after one phase rather than at the end.

How to compare two CRM quotes

  1. Is it the same written scope? Compare role by role and integration by integration. A missing integration explains more price differences than any difference in rates.
  2. What is excluded? Ask in writing. Data migration, WhatsApp template set-up, telephony, a field-sales app, training and hosting are the usual gaps.
  3. Who owns the code, the data and the accounts? The repository, the database, the hosting, the WhatsApp Business account and the domain should be in your organisation's name.
  4. What happens when the scope changes? Agree how a change is estimated and priced before the first one arrives.
  5. What happens after launch? Who fixes a fault, how quickly, and on what terms further work is done.

Do the sum against a subscription yourself

Compare any quote with the subscription you would otherwise pay, using your own figures. The method is in custom CRM or off-the-shelf: your per-user monthly price, times the people who will need a login in three years, times thirty-six, plus integration and admin costs. Set that against the build quote plus three years of running costs.

Use the plan you would really need, not the entry tier. Features that make a subscription CRM useful to an Indian sales team, such as WhatsApp, automation, telephony and custom reports, often sit in higher tiers or paid add-ons.

How MyFloww quotes a CRM

Every project is quoted individually, as a fixed price for a fixed scope, once we understand the requirement; for a custom CRM that means mapping every enquiry source, stage and role first, then pricing the first phase on its own.

Questions

Why do custom CRM quotes in India differ so much?

Because they are usually pricing different scopes. One includes WhatsApp, telephony, GST invoicing and data migration; another quietly assumes some of them away. Compare the written scope line by line before comparing the totals.

Does a field sales team need a separate mobile app?

Not necessarily. A CRM built as a web app runs in a phone's browser, and for logging calls, updating leads and checking the day's follow-ups that is usually enough.

What adds cost is working without a signal, location on visits, or photos on the record. Name each in the scope; working offline is substantial work however it is built.

Does moving data from Excel or another CRM add much to the cost?

It depends on the state of the data more than its size: one clean contact list comes across quickly, while years of leads in inconsistent spreadsheets need cleaning and decisions before they can be imported.

Subscription CRMs let you export records, but notes, attachments and call history do not always come out in a usable shape. Check what yours exports first.

What does a custom CRM cost to run after launch?

Hosting, backups and monitoring, the usage fees of what it connects to, such as WhatsApp messages, SMS, telephony and payment gateway charges, and the changes the team asks for once it is in use. Adding a login does not add a licence fee.

Should we build the CRM and the ERP together?

Only if you need both soon. One shared database is cheaper than connecting two systems later, but building both at once makes the first phase larger; the usual route is to start with whichever hurts more and design the other to join it.
