How much does custom software development cost in India?

Custom software development cost in India is decided by scope, not by screens or an hourly rate: how many kinds of user it serves, how many workflows and exceptions it handles, what it connects to, how much data comes across, and what it costs to run once live. Building in phases keeps each commitment small.

Custom software covers more ground than any other phrase in this library. An internal tool for one team, a customer portal, a CRM, an ERP and a product sold to other businesses are all custom software, and no figure describes them all honestly. So this article gives none. It sets out what a builder is actually pricing, so you can size your own project before anyone quotes it.

Where a narrower guide exists, it goes deeper: the cost of a custom CRM, of an ERP and of an MVP each has its own.

What kind of custom software are you pricing?

Start by naming the kind of software, because each kind has a different main cost driver.

An internal tool
Screens your own staff use all day: job cards, approvals, stock counts, field visits. The cost sits in the workflow and its exceptions, and in making it quick enough that the team actually uses it.
A customer-facing app or portal
Bookings, orders, payments, documents and history for your customers, on the web, Android and iOS. Design, payments and testing across devices weigh more here.
A business system
A CRM for sales or an ERP for operations, holding the records the business runs on. Roles, integrations and data migration are the main drivers.
Integration and automation
Software that connects systems you already use, so data moves between them without retyping. Each connection is separate work against someone else's system.
A product to sell
Software that other businesses or the public will pay for, usually starting as a minimum viable product. Subscriptions, onboarding and room to grow without a rewrite add to the scope.

Many projects combine two or three of these, such as a customer app with an internal system behind it. Custom application development of that kind should still be scoped part by part, so that each part can be priced and, if need be, phased.

What decides custom software development cost in India

Whatever the kind of software, the same drivers decide the cost, and each has a smaller and a larger version.

Custom software cost drivers, from the smaller version to the larger one
Cost driverKeeps it smallerMakes it larger
Kinds of userOne kind of user, or staff and an owner who sees everything.Customers, staff, managers, partners and an administrator, each with their own screens and permissions.
Workflows and rulesOne process, followed the same way every time.Several processes with approvals, exceptions and rules that change by customer, branch or product.
IntegrationsNone, or one well-documented service.Payment gateways, WhatsApp, accounting software, logistics partners or government portals, each named and each with its own ways of failing.
Data migrationA clean spreadsheet, or nothing to bring across.Years of records in several inconsistent systems, or on paper, that must be cleaned before they can be imported.
PlatformsA web app that works well in a phone's browser.Android and iOS apps as well, with app-store review on every release, or working without a signal.
ReportingA few fixed reports for the owner.Dashboards by role and location, exports, and reports that combine data from several systems.
Data sensitivityLittle personal data, and nothing sensitive.Health, financial or children's data, detailed access rules, and an audit trail of who changed what.
AI featuresNone in the first phase.Search, summaries, drafting or classification built into the software, with model usage to pay for while it runs.

Count the rows where your project sits in the right-hand column. A few is a contained build. Most of them is a substantial system, and the honest way to build it is in phases.

Why rules cost more than screens

A screen is cheap to draw. What takes the time is the logic behind it: the regular customer who gets credit, the rate agreed on the phone, the order that is half delivered and half cancelled. Exceptions like these are often how a business actually runs, and every one has to be built and tested. A quote priced by counting screens has not priced them.

If the software will hold personal data, India's Digital Personal Data Protection Act shapes how consent, access and security are built, so it belongs in the first scope rather than a later one. Confirm what it requires of your business with your advisor.

The running costs after launch

Custom software keeps costing something after launch, and those costs belong in the comparison from the start.

Hosting and infrastructure
The server, database, storage, backups and monitoring, every month, growing with users and data.
Usage fees from other services
Payment gateways charge per transaction, Meta charges for WhatsApp template messages, business SMS in India needs DLT registration and is billed per message, and maps or email services bill by use.
AI model usage
If the software uses AI, each request costs something, and the bill follows how much it is used.
App-store accounts
Developer accounts for Google Play and the App Store, in your business's name, if the software has mobile apps.
Updates and security fixes
Frameworks and libraries receive security fixes that have to be applied, whether or not anything else changes.
Changes and support
Real use always finds cases nobody planned for. Agree before launch how a change is priced, who fixes a fault, and how quickly.

Unlike a subscription, adding a user to custom software does not add a licence fee. For a growing team, that is often the line that decides the comparison.

Why phases are the cheapest way to build

Building in phases is the cheapest way to commission custom software, because each phase is a smaller fixed commitment that goes into use before the next one is scoped.

  • The first phase is the part whose absence costs the business most every day, built so that it does real work on its own.
  • Requirements nobody mentioned surface while the scope is still small, not after the whole budget is spent.
  • Features that sounded essential and would never have been used are found before they are built.
  • If the software or the builder is not working out, you find out after one phase rather than at the end.

Phasing only works if the first phase is designed as part of the whole, with one database and one set of records that later phases join rather than connect to.

How to compare custom software quotes

Compare the written scopes before the totals, because a lower price is most often a smaller scope.

  1. Is it the same scope? Check it user by user, workflow by workflow and integration by integration.
  2. What is excluded? Data migration, hosting, third-party fees, app-store accounts and training are the usual gaps. Ask in writing.
  3. Is the price fixed, and for what? A fixed price on a written scope protects you. A fixed price on a paragraph will move through change requests.
  4. Who owns the code, the data and the accounts? All of them should be yours, in your organisation's name.
  5. What happens after launch? Who fixes a fault, how quickly, and on what terms further work is done.

The fuller checklist, including fixed price against time and materials, is in how to choose a software development company.

When custom software is not worth the cost

Custom software is not worth its cost when an off-the-shelf product already fits your process and you are willing to work the way it expects. Before any business application development, check whether a product you could sign up for today already does the job.

Build when the thing you do differently is the thing you compete on. Then weigh the other factors: the cost shape, which is a subscription per user for as long as you use it against a project cost paid once plus running costs; where your data lives; whether you can change the software when the business changes; and how soon it has to be in use.

How MyFloww quotes custom software

MyFloww quotes every project individually, as a fixed price for a fixed scope, once we understand the requirement. There is no rate card and no hourly rate. Larger builds are delivered in phases, each with its own scope and price, and a quote states what is included, what is not, what the excluded items would cost to add, the duration and the payment stages. If the scope changes, the change is requoted rather than quietly billed.

The data is yours throughout, the domains and hosting are in your name, and on full payment the code is yours too. Custom software development sets out how a project runs. To start, tell us who will use the software and what they do today, in your own words, at info@myfloww.in or through the contact page.

Questions

Does custom software development cost in India depend on the city?

At MyFloww it does not: projects are quoted on scope, the price is the same wherever in India you are, and work outside Bengaluru runs remotely from the one office there. Across the market, what differs between builders is usually who writes the code and how senior they are, which matters more than the city on the letterhead.

How much does custom software development cost for a small business?

It costs what its scope costs, and a small business can keep that scope small: one kind of user, one workflow, no integrations it does not need yet, and a web app rather than mobile apps. Start with the part that costs the business most every day, put it into use, and scope the next phase from what that use shows.

Is custom software cheaper than paying for subscriptions?

Sometimes, over time, and not always. A subscription is cheaper to start and charges per user for as long as you use it; custom software costs more at the start, then running costs, with no licence fee per user. Do the sum for your own users over several years, including integration and admin.

Can I get a fixed price for custom software?

Yes, for a scope that has been worked out and written down. A fixed price given before anyone understands the requirement is either padded for the builder's risk or thin and heading for change requests. For a large system, the usual answer is a fixed price for each phase, scoped when that phase is reached.

Who owns custom software once it is built?

You should own the code, the data and every account it runs on, in your organisation's name. At MyFloww the data is yours throughout, domains and hosting are in your name from the start, and the code is yours on full payment, so another developer could take it on.

Should AI features be part of the first phase?

Only if the first phase cannot do its job without them. AI search, summaries or drafting are cheaper to build in while the software is being written than to retrofit, so design for them early. But they bring a running cost for model usage, which should be weighed against the work they save.
